3.3.1 Administrative Suite

Planning Rationale

The Administrative Suite serves as both a reception area for visitors, a location to house the School’s administrative staff, and a point of security control. All visitors are required to sign in at the Security Desk upon arrival before checking in at the Administrative Suite, therefore, it is required that this area has a visual connection to the Main Entrance.

Design Considerations

Location

The primary entrance to the Administrative Suite shall be immediately adjacent to the Main Entry Lobby and a secondary entrance shall be provided for staff use and egress.

Layout

The Administrative Suite is comprised of a waiting area and reception area which leads to a conference room, support spaces, and private offices. The private offices shall be separated from the reception and waiting area but shall be accessed from within the Administrative Suite. The following spaces shall be accommodated within the Administrative Suite.

  • Reception/ Waiting Area: Provide a varied height reception counter with accessible accommodation including a swing gate or other access control device integrated into the reception desk. The space is intended for students and visitors waiting to meet with administrators and for students waiting for parent pick-up.
  • Open Office: This area shall be connected to Reception/Waiting Area. The placement shall have a visual connection to the Main Entry Vestibule and Lobby allowing staff to efficiently monitor student entry as well as guests via an Aiphone intercom/electronic access control system. The Open Office shall be accessible to the Workroom.
  • Conference Room: Used by parents and students meeting with administrators, and internal administration meetings. Access to room shall provide privacy from waiting area while preventing unauthorized access to administrative offices
  • Principal’s Office: Locate for privacy away from waiting and open office area (ideally adjacent to toilet and conference rooms).
  • Assistant Principal’s Office: Locate for privacy away from waiting and open office area
  • Pantry: Support space for faculty and staff, providing a location for coffee and food storage. This room should be located adjacent to the conference room and Workroom.
  • Work Room: Supports office functions, providing a location for a copier/printer and office supply storage. This room can be combined with the Faculty Mailboxes.
  • Vault: Locate near the open office space, this room provides locked and fire protected storage for sensitive documents and student records. Provide required 2-hr fire rating for storage rooms over 100 SF.
  • Faculty Mailboxes: Located within a wall niche adjacent to the secondary Administrative Suite entrance. Mailboxes should be easily accessible for faculty and staff to access without disrupting the office function. May be located within the Workroom if niche is not feasible.
  • Toilet Room: A gender neutral toilet room for administrators and staff. Typically, entry to the toilet room is shielded from view of the Waiting Area.
  • Electronic Monitoring of the front doors as well as an electronic door release shall be provided to permit ingress into the building from the Administration Suite. 

Views and Daylighting

All offices and ideally the conference room shall have natural light and ventilation, allowing support spaces to occupy the interior areas of the office suite. Open office areas shall minimally have views to the exterior and if possible direct adjacency to windows is required.
