The Sandbox

It’s Play Time!

The Aspen Sandbox will be available to current IMPACT users, excluding parents and students, beginning Monday, October 1, 2018 through December 21, 2018.

What To Expect

  • The Sandbox is simply a place where you can play in Aspen before it goes live. It is NOT the system of record. Please continue to enter grades, attendance, etc. in the regular IMPACT applications during this time. Changes or work done in the Sandbox will not carry over into Aspen on January 7, 2019 when we go live.

  • When you log into the Sandbox for the first time, you will be looking at data from the second week of school as of September 14, 2018. The Sandbox will be periodically refreshed with data from IMPACT. As a result, information you enter in the Sandbox will be replaced with updated data after the periodic refreshes.

  • The Sandbox is not the final Aspen state, therefore, some elements will not be available in the Sandbox. As these features become available, they will be posted within Aspen on the announcement widget.

  • Remember: SSM, ODA, and the Dashboard are not being replaced by Aspen. CIM will be available for the remainder of the school year.

How Should I Use it?

  • The Sandbox can be leveraged as a training environment where you can test out various functions you normally perform day-to-day.

  • Please carve out time for weekly Sandbox exercises your Change Champions (CCs) may share.

  • Though the Sandbox provides a robust training environment, it should not be the only resource used to prepare for the transition to Aspen. We strongly recommend using the Sandbox in conjunction with our other training resources such as videos and step-by-step instructions.

  • Training videos, which can be used side-by-side with the live Sandbox, are available on the Training Materials side tab.  We advise starting with the Basic Navigation training module.

What If I Have Questions?

  • We ask that you do not direct Aspen Sandbox questions to the ITS Service Desk or to individual members of the project team. Instead, reach out to your school’s Change Champions!

  • You can find out who your CCs are here. Remember, there were two ‘tracks’ for training: Teacher and Admin/Main Office. Make sure you direct your question to the right champion.

  • If you are a CC, and a staff member asks a question you cannot answer, please escalate the question to the Communications Forum we showed you during summer training.

The Cake Isn't Fully Baked!

Areas of the system are still under construction and may be unavailable or only partially available in the Sandbox:

  • Reports: Many CPS-specific reports are still under development. The majority of the reports currently in the system came preloaded with Aspen.

  • Standardized Assessments: With the exceptions of ACCESS, EL Screeners, BAS, and the Fitness Assessment, standardized test data is not yet loaded into Aspen.

  • Learning Standards for Assignments: A sample of the functionality to attach learning standards to assignments will be available in the Sandbox, but not the full list.

  • Fitness Assessment Access: A new role is being created in ODA for Fitness Assessment Coordinators. More info about this role will be communicated later this fall.

  • The Behavior module: Under development.

  • Sending Emails is Turned Off:  This function has been disabled to prevent parents, students and staff from receiving stray emails from the Sandbox.

  • Report Card Coded Comments and Kindergarten Rubrics: Under development.

  • For those using the Student Fees module, the district GL Accounts and Programs are not fully loaded.  However, you can practice creating Fee Types with generic Accounts and Programs that we have loaded.

How Do I Get In?

To access Aspen, please following these step-by-step instructions:

  • Go to aspen.cps.edu and log in using your CPS Username and Password.

  • The Teacher view is referred to as ‘Staff view’ and is usually the default for all roles that have multiple views.  If you are a Principal, Status Coordinator, or other office staff roles, switch to ‘School view’. You can do this on the top right corner of the screen by expanding the View drop down menu.

  • Please reference the Aspen training guides for additional instructions.
